A clear start for you and your team.

Short, practical guides to setting up StaffFlow and making the daily workflows work for your company.

Set up your company

Give your team a company identity and structure before you begin everyday work.

  1. Create your account and verify your email, then complete company setup.
  2. Open Company Settings to add your business details and logo.
  3. Create the branches and departments that reflect your organisation.
  4. Review attendance location settings for the branches that require them.

Invite and activate employees

An employee record and a sign-in account need to be connected before employee self-service is ready.

  1. Create the employee record with the correct name, email, branch and department.
  2. Send an invitation to the intended email address.
  3. The employee accepts the invitation using their verified account.
  4. The company owner or HR administrator reviews the accepted account and links it to the correct employee record.

Prepare for the first clock-in

Complete the company attendance setup before employees begin their working day.

  1. Confirm the employee is active, linked and assigned to the appropriate branch.
  2. Configure the branch's attendance location if location checks are required.
  3. Complete the supported device registration and approval steps.
  4. Assign a published shift where needed, then have the employee open Attendance to clock in.

Assign work and review evidence

Give employees enough context to understand the expected outcome.

  1. Create a task with a clear title, description, priority and due date.
  2. Assign it to an employee within your authorised team.
  3. The employee opens their task, updates progress and submits evidence where needed.
  4. Review the submission and use the available task actions to record the outcome.

Manage leave requests

Set leave categories before asking employees to submit time-off requests.

  1. Create the leave types your company uses and add annual allowances where appropriate.
  2. The employee selects a type, dates and reason, then reviews the requested duration.
  3. An authorised reviewer approves or rejects the request.
  4. Employees can check the decision in their leave history; approved leave is recognised in attendance operations.
